How to Set Up and Use Insurance Coding

Add billing codes to your patient encounters for improved documentation and seamless PDF export.

What are insurance billing codes?

Insurance billing codes (such as CPT code 90833) track the specific services provided during patient encounters. Adding them to encounters in Nextvisit AI does two things:

  • The AI uses the billing code to generate more accurate, relevant progress notes
  • Your billing codes appear on exported PDFs, especially when combined with your practice information

How to access billing code settings

  1. Click your profile icon in the bottom left of the sidebar
  2. Select Settings (gear icon)
  3. Click Insurance Billing

Setting up your billing codes

From the Insurance Billing settings page, you can create and manage your billing code library. Each code requires:

  • Code (required): The billing code number (e.g., 90833)
  • Modifier (optional): Any applicable modifiers
  • Price: The fee associated with this code
  • Duration: Expected session length (e.g., “15 Minutes”)
  • Description (required): A description of the service

Once saved, codes are available across all your patient encounters.

Adding billing codes to encounters

During an active session: Select the appropriate billing code while recording to guide documentation in real time.

After the encounter: Add the billing code when reviewing a completed encounter to update the final documentation.

Getting the most from billing codes

For the best PDF exports:

  1. Complete your practice information in workspace settings
  2. Add billing codes to all relevant encounters

Exported notes will display your billing information ready for insurance submission.
