Pocket Integration

Connect Pocket (Beta), import recordings as notes or drafts, set automations, or import over USB.

Pocket is a hardware recorder for sessions when you are away from the browser. The Nextvisit integration is in Beta. Open it from Apps & Shortcuts → Apps, then Pocket (Beta) → Sync Device.

You can bring recordings in two ways: Cloud Sync (Recommended) with a Pocket API key, or USB Import from the device.

Connect Pocket (cloud)

On Choose Import Method, click Use Cloud Sync.

  1. Open Pocket Developer Settings
  2. Open the API Keys section
  3. Generate a key or copy one you already have. Keys start with pk_.
  4. Paste it into API Key
  5. Click Test Connection if you want to check the key. Success reads: Connection successful! Your API key is valid.
  6. Click Connect Pocket

The page heading is Pocket Integration. After a working connection the badge reads Cloud Connected, with Connected, Last synced, and Refresh. Tabs are Recordings, Automations, USB Import, and Settings.

If your account cannot create notes, Nextvisit shows: Your account does not have access to create notes. Automations and import defaults are unavailable for that account.

Recordings

Recordings lists Pocket cloud recordings: title, duration, status, folder, and date. Open a row to see Transcript, Summary, and Actions.

The folder menu loads after the page opens. If folders fail, Retry folders appears; the recording list can still load. Refresh reloads the current list.

A transcript is required to import. Choose a Note template, then Create note or Import draft, matching Import defaults in Settings.

  • Create note imports the transcript and starts AI note generation.
  • Import draft puts the transcript in an Awaiting Review draft. Generation starts after you review and submit.

The Note template list on this page is Nextvisit’s active built-in templates.

The note opens as a session. Use Link a Patient on that session if the chart should be attached. Use Change Provider on the session if another clinician should own it.

Repeated imports of the same recording open the existing note or draft.

If that note was deleted, Nextvisit shows: The imported note was deleted. Restore it from deleted notes.

Import defaults

Settings → Import defaults applies to new manual imports and new automations for this connection.

  • Generate notes immediately
  • Import drafts for review

Click Save import default. Existing notes and drafts keep the behavior they were imported with.

Automations

Automations can import every recording, or only recordings that match the conditions you set.

Click Create automation. Set a Name, a Note template, Enable automation, and how to Match recordings:

  • All recordings
  • Choose conditions — keywords, weekdays, and a time range. Enabled conditions must all match. Leave a condition empty to skip it.

Keywords: separate with commas (example: appointment, follow-up). Any one keyword can match the recording title or the transcript, regardless of capitalization.

Weekdays: no selected days means every day.

Start time / End time use when the recording was made, in the automation’s Time zone. Overnight ranges belong to the weekday on which they start.

Example: name Weekday appointments, keywords appointment, follow-up, weekdays Mon–Fri, 09:00–17:00, time zone America/New_York, plus a Note template from the list.

Enabled rules check every five minutes and include existing and future recordings that already have transcripts. The first matching rule chooses the template. Each recording is imported once; overlapping rules and retries reuse the existing note or draft.

Pause with the switch (Enabled / Paused). Delete asks: Delete “{name}”? Existing notes and drafts will be kept.

USB Import

USB Import is available from Choose Import Method before you connect cloud (Use USB Import), and from the USB Import tab after you connect.

It requires Chrome, Edge, or Opera on HTTPS. The button reads Requires Chrome, Edge, or Opera when the browser cannot open a folder. Brave may show: File System Access is blocked by Brave Shields. Disable Shields for this site or use Chrome/Edge.

  1. Click Connect Device
  2. Choose the Pocket drive root or the RECORD folder
  3. Select files (date folders look like YYYY-MM-DD)
  4. Click Upload with the selected file count. For each file set Title and Template. Patient and Context are optional. Template lists built-in templates and your custom templates.
  5. Click Upload again. Nextvisit transcribes those files the same way as Upload audio. When every selected file finishes, Sessions opens.

Empty device copy: Make sure your device has recordings in the RECORD folder.

Disconnect

Settings → Disconnect Pocket. Confirm: Disconnect your Pocket account? Automations will stop importing recordings.

Existing notes and drafts stay. Connect again with an API key when you want cloud sync to resume. Importing a recording that was already imported opens the existing note or draft.

Open Pocket in Connection Settings opens Pocket’s API key page.

If something looks wrong

  • Unable to load folders. Try again. — Retry folders
  • Unable to load recordings. Try again. — Try again or Refresh
  • Pocket reported a transcription error. Refresh after retrying transcription in Pocket.
  • Pocket reported a summary error. Refresh after retrying the summary in Pocket.
  • A transcript is required to import a recording.
  • Authentication failed. Please reconnect your Pocket account. / Reconnect your Pocket account to import recordings.
  • Your Pocket API key does not have permission to access this resource. / Your Pocket API key does not have access to this recording.
  • Pocket is receiving too many requests. Please try again shortly. / Pocket is busy. Try importing again shortly.
  • Automation banner examples: Pocket is busy. The next sync will retry. / Pocket access failed. Check your API key and its permissions.
